Our Commitment to Child Safety
Luma Learning is committed to providing a safe, respectful, inclusive and supportive learning environment for every child who accesses our tutoring services.
The safety and wellbeing of children is prioritised in the planning and delivery of all Luma Learning services, including face-to-face and online tutoring.
Luma Learning is committed to implementing the Queensland Child Safe Standards and the Universal Principle for cultural safety under the Child Safe Organisations Act 2024 (Qld).
We have zero tolerance for child abuse, harm, exploitation, discrimination or inappropriate conduct towards children.
About Luma Learning
Luma Learning provides individual tutoring for primary-aged students, including face-to-face tutoring in North Brisbane and online tutoring via video conferencing.
Luma Learning currently operates as a small tutoring business with tutoring delivered directly by the business operator.
Our child-safety practices are designed specifically around the nature of one-to-one tutoring and the physical and online environments in which our services are delivered.
1. Child Safety, Leadership & Culture
Child safety and wellbeing are central to Luma Learning’s operations and decision-making.
Luma Learning seeks to:
- place children’s safety and wellbeing ahead of other operational considerations;
- identify and minimise foreseeable risks of harm;
- maintain professional boundaries at all times;
- respond appropriately to child-safety concerns;
- maintain appropriate records relating to child safety; and
- regularly review child-safety practices and make improvements where required.
2. Children’s Voice & Participation
Children have the right to feel safe, respected and heard during tutoring.
Students are encouraged to:
- ask questions;
- express preferences about their learning;
- say when they do not understand something;
- tell their tutor or parent/carer if something makes them uncomfortable;
- request a break when appropriate; and
- raise concerns about their tutoring experience.
A child’s concerns will be taken seriously and responded to in an age-appropriate and respectful manner.
Children will not be punished or disadvantaged for raising a genuine concern.
3. Parents, Carers & Families
Luma Learning recognises parents and carers as important partners in maintaining children’s safety and wellbeing.
Parents/carers are provided with information about how tutoring operates and may raise questions, provide feedback or make a complaint at any time.
For online tutoring, parents/carers may remain nearby or within hearing distance of the session if they or their child prefer.
Parents/carers are encouraged to communicate any relevant learning, accessibility or safety needs that may assist Luma Learning in providing an appropriate tutoring environment.
4. Equity, Inclusion & Cultural Safety
Every child accessing Luma Learning has the right to participate in tutoring in an environment free from discrimination.
Luma Learning respects children of different abilities, cultures, languages, backgrounds, family structures and circumstances and seeks to make reasonable adjustments to support individual learning and participation needs.
Luma Learning acknowledges the importance of providing culturally safe environments for Aboriginal and Torres Strait Islander children and respects their cultures, identities, families and communities.
Discrimination, racism, bullying and harassment are not accepted within Luma Learning services.
5. Working With Children Requirements
The Luma Learning business operator maintains the screening or authorisation required under Queensland law to undertake regulated child-related tutoring work.
Where Luma Learning engages another tutor in the future, that person will not commence regulated child-related work until all applicable Working with Children screening and linking requirements have been satisfied.
Suitability to work safely and appropriately with children will remain an essential requirement for anyone engaged by Luma Learning.
6. Professional Code of Conduct
When working with children, Luma Learning will:
- communicate respectfully and professionally;
- maintain appropriate adult-child boundaries;
- use age-appropriate language;
- avoid humiliating, threatening, intimidating or discriminatory behaviour;
- never engage in sexualised behaviour or communication with a student;
- avoid unnecessary or inappropriate physical contact;
- not develop private social-media relationships with students;
- use parent/carer communication channels wherever practicable for administrative communication;
- respect children’s privacy while recognising child-safety and reporting responsibilities; and
- act when a child’s safety or wellbeing may be at risk.
Any conduct inconsistent with these principles will be taken seriously.
7. Safe Face-to-Face Tutoring
Reasonable steps are taken to identify and reduce risks associated with face-to-face tutoring.
Tutoring will take place in an appropriate learning environment.
Where tutoring occurs in a family home, a parent/carer or responsible adult should be aware that the tutoring session is occurring and arrangements for arrival, departure and supervision should be agreed beforehand.
Doors, visibility and the physical learning environment will be managed in a way that supports both effective learning and child safety where reasonably practicable.
Luma Learning does not assume general childcare responsibility outside the agreed tutoring session unless expressly arranged.
Any hazards or safety concerns identified within the tutoring environment will be addressed where reasonably possible before tutoring continues.
8. Safe Online Tutoring
Online tutoring is conducted through an appropriate video-conferencing platform.
Students should participate from an appropriate location in their home or another location approved by their parent/carer.
Parents/carers may remain nearby or observe the session.
Online interactions will remain professional and related to tutoring.
Luma Learning will not privately communicate with children through personal social-media accounts.
Sessions will not be photographed, recorded or distributed by Luma Learning without appropriate consent.
Any inappropriate online behaviour, material or communication will be addressed promptly and the session may be ended where necessary to protect the student or tutor.
9. Photography, Recording & Student Information
A child’s image, video, work or identifying information will not be used publicly for promotional purposes without appropriate consent.
Tutoring sessions are not routinely recorded.
Where recording is proposed for a legitimate purpose, the purpose will be explained and appropriate consent obtained beforehand.
Personal information collected through tutoring enquiries and services will be handled responsibly and only used or disclosed for legitimate purposes or where disclosure is authorised or required by law.
10. Responding to Child-Safety Concerns
Any concern that a child may be experiencing abuse, neglect, exploitation or other harm will be taken seriously.
If a child discloses a safety concern, Luma Learning will:
- listen calmly and respectfully;
- avoid making promises of absolute confidentiality;
- avoid unnecessarily investigating or repeatedly questioning the child;
- document relevant information appropriately;
- consider the child’s immediate safety; and
- make a report or seek assistance from the appropriate authority where required by law or where necessary to protect the child.
Where there is an immediate threat to a child’s safety, emergency assistance should be sought by calling 000.
Child-safety concerns may also be referred to the Queensland Police Service, Queensland child protection authorities or another appropriate regulatory or support body where applicable.
11. Complaints & Feedback
Children and parents/carers are encouraged to raise concerns about Luma Learning’s services.
Complaints may relate to behaviour, boundaries, discrimination, privacy, online safety, physical safety or any other aspect of a child’s tutoring experience.
Complaints can be submitted through Luma Learning’s website contact details.
Complaints will be:
- taken seriously;
- handled respectfully and as confidentially as reasonably possible;
- considered promptly;
- documented where appropriate;
- assessed for any immediate risk to a child; and
- referred to an external authority where required or appropriate.
A person will not be disadvantaged for making a genuine child-safety complaint.
If a complaint concerns conduct that may constitute a criminal offence or otherwise requires external reporting, Luma Learning will contact the appropriate authority.
12. Risk Management
Luma Learning considers child-safety risks associated with its activities, including:
- one-to-one tutoring;
- physical tutoring environments;
- online tutoring;
- electronic communication;
- inappropriate adult-child boundaries;
- collection and use of children’s information;
- photography and recordings;
- arrival and departure arrangements; and
- emergencies and child-safety disclosures.
Reasonable controls are implemented to reduce identified risks.
Child-safety risks will be reconsidered when services, locations, technology or business arrangements change.
13. Knowledge & Ongoing Learning
Luma Learning is committed to maintaining current knowledge about:
- child-safe practices;
- recognising indicators of harm;
- responding appropriately to disclosures;
- applicable reporting responsibilities;
- online child safety;
- professional boundaries;
- cultural safety and inclusion; and
- Queensland Working with Children requirements.
Relevant guidance and regulatory changes will be reviewed periodically.
14. Record Keeping & Confidentiality
Records relating to serious child-safety concerns, incidents and complaints will be maintained appropriately and securely.
Information concerning a child-safety matter will only be shared where reasonably necessary to manage the matter, protect a child, obtain professional advice, or satisfy legal or regulatory requirements.
The safety and wellbeing of the child will remain a primary consideration when managing child-safety information.
15. Continuous Improvement
Luma Learning welcomes feedback from students and families about safety, accessibility and the tutoring environment.
Child-safety practices will be reviewed:
- at least annually;
- following a significant child-safety incident or complaint;
- when services materially change; or
- when relevant legislative or regulatory requirements change.
Identified opportunities for improvement will be incorporated into Luma Learning’s practices where appropriate.
